Volunteer Application

Below you will find the volunteer roles needed for our upcoming mini championship. Please complete the form below by 26th November 2022 and we will get in touch with you as soon as possible. Feel free to contact us with any questions — we are happy to help.

The details of the event:

Date: 4th December 2022 (Sunday)

Time: 6AM - 3PM

Venue: Uniten Stadium, Kajang

Application close on: 26th November 2022

Minimum Age: 14 and above

​

Volunteer roles

Check-in Registrant (2 volunteers)
Task: Registration counter, distribution of athlete bib numbers and breakfast for the registered athletes.

Check-in Usher (2 volunteers)
Task: Bring attendees to their assigned seat (e.g. parents, athletes, invited guests, VIP), dissemination of information (who is their age group leader, where is the washroom/event call room/medical/food & promotional booth). Greet the arriving guests and answer questions.

Call room (1 volunteer)
Task: Ensure the correct number bib are worn and worn properly when athletes register for their event, inform athlete their lane, queue them up according to their lane with the help of the group leader, work closely with group leaders, pass competition sheet to group leader to escort athletes to event site.

Group leader (3 volunteers)
Every age group (i.e. U15, U17) will be required to have a designated group leader. 


U9 & U12 group leader task: Marshal the athlete when they are called for event, assist call room registrant, escort them to the event site, keep athletes organised and ensure their safety and the smooth running of the event. Pass the competition sheet to flagger. You will repeat the process when the group’s next event is called.

U12 Deaf group leader task: Marshal the athlete when they are called for event, assist call room registrant, escort them to the event site, keep athletes organised and ensure their safety and the smooth running of the event. Pass the competition sheet to flagger. You will repeat the process when the group’s next event is called.

U15 & U17 group leader task: Marshal the athlete when they are called for event, assist call room registrant, escort them to the event site, keep athletes organised and ensure their safety and the smooth running of the event. Pass the competition sheet to flagger. You will repeat the process when the group’s next event is called.

Flagger (1 Volunteer)
Task: Received competition sheet from group leader and assign athletes to their respective lane, inform the starter of time left before start, ask athletes to stand behind their blocks or 3m behind starting line before the "Ke Garisan" command, check to see that the track is clear, notify the finish line and timer with flag, ensure athletes' hands are behind the starting line at “Ke Garisan” position, turn the race over the starter with a hand signal.

Starter (1 Volunteer)
Task: Explain to athletes what are the race command “Ke garisan”, “Sedia”, and how does the start sound like, explain what is fault start, and the sound of fault start is whistle and they should stop running if they hear whistle sound.

 

Track + Long jump (2 volunteers–preferably boys)

Tasks include carrying/lifting starting block (hard work).


(i) Track Tasks: Ensure starting blocks are placed and moved efficiently between the various start lines, relay zone judges, lap counting of distance races, accompanying athletes to relay exchange zones.

(ii) Long Jump tasks:
Volunteer 1: Set up sand pit, in the pit - placing the marker at the first point of contact in the sand, rake the pit.

Volunteer 2: Tape puller - pulling the tape past the takeoff board in line with the landing spot to get a clean reading at the board, report the distance to the distance recorder.

Time keeper + Timing & Distance Recorder (4 volunteers)
Task: Notify starting line Flagger, Press record for photo finishing video, Time Keeper: Record time for track events. Distance recorder: Call up name, record distance for field event (Long jump).

​

Food & Water Station (2 Volunteers)
Task: Distributing food & drink to registered participants based on their number bib and RSVP list. Send drinks to time keeper and site volunteers.

​

Kawan Booth + Certificate distribution (2 Volunteers)

Booth Task: Record contributor name and items given, record recipient name and items taken, returning item to contributor at the end of the event (if still on the shelf) when they collect their participation certificate at the end of the event. 

​

Certification distribution task: distribute the certificate to all members at the end of the event.

​

Prize-giving ceremony Helper (2 Volunteers)
Task: Ensure the smooth running of the ceremony (on time & orderly), gather the winners for the ceremony, collect incentive slip/envelope from incentive helper, ensure every winners are dress properly (No Slipper/Short tights/Singlet), carry medal tray and handling the medals/trophies to presenters, assist the lucky draw event.

Prize & incentive helper (1 Volunteer)
Task: Ensure correct name and winner placing written correctly on the slip/envelope and list, put slip/envelope together with medals in the medal tray, Incentive collection–athlete must wear their number bib and provide the incentive slip/envelop to collect their cash incentive, get the athletes sign for record purpose.
